Q1 2020 Project planning and preparation. Review feasibility.
Q2 - Q3 2020 User data migration and identity management planning and preparation.
Q4 2020 - Q2 2021 Identity management implementation - user load, activation form, and custom reports.
Q4 2020 - Q2 2021 Resource access planning and preparation. System and analytics implementation.
Q4 2020 - Q3 2021 Resource sharing planning and preparation. Server, data, and resource migration. System and reports implementation.

Estimated Timelines per System

Identity Management

Identity management is the process for account activation, which will be provided by our integrated library system (ILS). Government Services contracts with the Chemeketa Cooperative Regional Library System (CCRLS) for a shared ILS to partner with our regional libraries and better serve our library users.

TIMELINE ACTIVITY
December 2020 Library staff completed discussions for the statements of work.
January 2021 Our vendor partner began work to create a user load script.
February-March 2021 Our vendor partner completed work on the user load script. Library staff tested the script to verify information correctly loaded from the Workday API.
April-May 2021 Work on the custom activation form will be complete. Library staff will test the form to verify information is correctly updated in our systems. Library staff will develop and test reports.
June 29, 2021 The new account activation system will be available for state employees.

Resource Access

Resource access is the process for logging in to databases, electronic journals, and eBooks. Government Services uses EZproxy for our resource access system.

TIMELINE ACTIVITY
January-February 2021 Library staff completed implementation questionnaires. Our vendor partner began configuring the EZproxy server.
March-April 2021 Library staff will work with our vendor partner to complete the implementation process, including testing database access and reviewing administrative modules
June 29, 2021

The new database login system will be available for state employees.

~June-July 2021 Library staff will work with our vendor partner to implement the analytics module. Library staff will create and test analytics dashboards.

Resource Sharing

Resource sharing is the process for providing interlibrary loan and document delivery service to library users. Government Services uses ILLiad for our resource sharing system.

TIMELINE ACTIVITY
January 2021 Library staff completed implementation questionnaires.
April-June 2021 Our vendor partner will configure the ILLiad server and start implementation. Library staff will work with our vendor partner on the implementation process, including migrating server data.
June 2021 Library staff will test user access, server access, and reports.
~July-August 2021 The new request/renew materials service will be available for state employees.
