State Library Email Lists

This InfoGuide is designed to assist mailing list administrators/owners and moderators manage their State Library hosted mailing lists.

The State Library is no longer hosting mailing lists.

Lists have been transitioned to DAS

DAS is hosting the mailing lists previously hosted by the State Library.

This InfoGuide contains content which includes: suggested alternatives and list owner responsibilities necessary to close out your list. 

Staff at the State Library are available to provide you with a "list of lists" we host fo your agency as well as the email addresses of the listowner(s)/admin(s) for each list.

Please consider the following when thinking about this sunset process:

  • Is the list still being used?  If not, cant it be deleted by yourself or DAS IT staff?
  • If the list is still active, is the list a one-way announcement type list ot a two-way communication type list?  We have included information regarding alternative options for both.
  • Do you need the final subscriber list for for your list?
  • Do you need the archives for your list?  These may be considered public records and a retention schedule might apply.

This information guide provides the steps needed to address some of the bullet points above including: deleting your list, obtaining subscriber addresses and obtaining as archive of your list postings.

Software Utilized

Mailman is the open source software we currently utilize. It is easily downloadable and can be installed and run at your agency. We can export your list’s current subscriber data which you could then, migrate over to a new service. Mailman is a good option for two-way communication type lists.

With one-way communication lists (newsletters, agency announcements) paid services such as Mailchimp or Granicus (GovDelivery) are options worth investigating. The State of Oregon has a contract with Granicus to in part, provide, this type of service.

Secure Links in Chrome Browser

Google Chrome Browser: Secure Links Update:

Mailman "mailing list" software will be updated to an https ("secure") URL later thus year when the service is transitioned to our new agency provider.  

The need to change to https is in response to Google Chrome’s announcement that beginning July 1, 2018, it will flag all http URLs as “not secure.” Our mailman site remains accessible, you will just see a warning to the left of the URL.

Chrome will mark all HTTP sites as 'not secure' starting in July

There is a handy Google Chrome browser extension you can install that will switch sites from an insecure "http" to secure" https".  This will increase the security of your browsing. The extension is called HTTPS Everywhere and is available HERE.  Consult with your IT department on any local protocols prior to using or installing this tool.
